Oh, I remember the early years. I was so excited to get a potential client call. I would quickly jot down the basic details. These included the date and type of event. I would note how long they wanted the band to play and the location. In my mind, I was all set! Lastly, we would discuss and agree on a price, and we were off to the races!
That lack of planning led to not knowing where to park. We failed to ask more detailed questions. We would arrive only to realize that there was only one available outlet, and we were sitting on a hill.
I would begrudgingly locate the client. I would try to be as polite as possible. Then I would explain why this whole setup was not ideal. Together, we would try to figure out how to make the changes that would allow us to perform.
This included the band physically moving to a different location because of the uneven ground. My client’s frustration was obvious. I felt a wave of nervousness. I had no clue how to pull this off.
We agreed on the changes, the band adapted, and the performance went on without a hitch. But, the client experience suffered. I was kind and the band was talented. Even so, I’m sure that whole experience left a bad taste in their mouth.

With years of experience now under my belt, I understand the critical importance of conducting a site visit in advance. Detailed pre-event planning is essential to anticipate potential challenges like load-in, parking, power requirements, and the performance area.
You can see there were issues. My lack of foresight early on led to delays and technical difficulties. It added undue stress on the day of the event. None of this would have happened if I were more experienced.
Clients often have a clear vision for their event. However, they may not fully understand how that vision impacts the practical realities for the entertainment. For example, I once had a client who envisioned a backyard event with string lighting to create ambiance.
Upon visiting the house, I discovered just one available outlet, inconveniently located over 50 feet from the performance space. The area itself was on an incline, which would have been physically taxing for our drummer.
There was also no cover, exposing our equipment and us to direct sunlight. Our parking was almost 100 feet away! So getting the equipment to the performance area would be quite a challenge. I asked pertinent questions initially. However, the client didn’t fully grasp these logistical challenges until we did a site visit.
Together, we found a more suitable location that also enhanced the comfort of her guests. The new spot had adequate power, and we discussed a plan for loading and unloading equipment efficiently to minimize disruption.
Because of taking the time to visit beforehand, everything worked out seamlessly. Our band received glowing feedback about our planning and professionalism.
Without this proactive approach, arriving on the event day to discover these issues would have been a nightmare for us. It would also have been incredibly disruptive for the client.

Sometimes, the value of an experienced band extends beyond just the performance itself. I recall meeting a bride for a site visit who was visibly overwhelmed, on the verge of tears. When I asked why she was so upset, she explained that her coordinator had unexpectedly resigned.
She felt lost about the flow of the evening, the placement of vendors, and the overall timeline. Drawing on years of experience, I could step in. I would walk through the venue with her. I could understand her vision. I could offer suggestions. I helped her create a detailed itinerary and a plan of action.
We even discussed adjusting our services to include some of the coordination tasks. The relief on her and her mother’s faces warmed my heart, and the wedding proceeded flawlessly.

This might include having spare speakers ready, extra batteries for cordless microphones, or backup microphones, instruments, and cables. Without this preparedness, a simple technical issue could bring the entire event to a halt.

The contract must clearly specify essential elements such as cancellation clauses, special requests, hospitality riders (if applicable), load-in times, non-negotiables, and any relevant sound ordinances to avoid uncertainties.
