This ample time ensures two things: you get your first-choice talent, and you give the band the necessary space to perfect those special song requests. If you want the best, start early.

The Tear-Down Tightrope: Brides often want the music to stop at 11:00 PM, but if the venue requires everyone to be out of the building by 11:30 PM, they aren’t accounting for the band’s load-out. If it takes us an hour and a half to tear down, to avoid overtime fees imposed by the venue, the music has to stop by 10:00 PM—that’s a huge difference! Always ask: What is the latest stop time that still allows the band to clear the venue by your hard-out time?
  2. The Band’s Backstage Logistics: A professional band needs a safe place to operate. Overlooked clauses often relate to:
    • Case Storage: Where do our equipment cases go after setup? They can’t just be piled up in a corner of the ballroom.
    • Parking Fees: Who is paying for parking, and where should the band park for easy load-in/load-out?
    • Break Space (Green Room): Is there a designated green room, or will the band be assigned a table in the corner? Providing a dedicated break area shows respect for your vendors and helps them recharge to deliver high energy.

We’d like to dedicate this song to the bride and groom. Can all the couples in the room join them on the dance floor?” Once we have everyone out there, after that one tender song, we immediately launch into a really upbeat song that people love to dance to, keeping the entire crowd engaged.
